What is a rejected registration?
A registration that has been deemed to be missing information that is integral to downstream processes such as sending medical records, or registrations that contain poor data quality. These registrations will be rejected and returned to the sending practice for them to be resubmitted.
What is the process?
When a practice sends a registration for a patient, it is received by PCSE down the GP link between a practice clinical system and the NHS system that PCSE operates. If the registration has vital information missing or contains poor data quality that could affect the outcome of the registration, PCSE will reject the registration.
During this process, PCSE are required to enter a mandatory message. Typically, this message will be a numeric code, referred to by PCSE as the ‘Rejection Code’. There will then be a statement that usually states an email will be received the following working day to your main contact.
This returns the registration to the sending practices clinical system as a ‘Wrong FHSA/Incorrect HA’ message type for you to add or amend any information PCSE requires. An email will also be sent to the Main Contact user role at the practice explaining the reason for rejection in further detail and what to do to resolve it.
We’ve not received an email. What do we do?
PCSE will send correspondences to a practice ‘Main Contact’ regarding why PCSE have rejected a registration.
Firstly, confirm who the main contact for your practice is. If there is no main contact, then you can update the contact via the portal. To mitigate not receiving emails, there is this document that gives a high-level view of the reason for rejection.

Why do my registrations keep getting rejected for the same patient?
If you are receiving repeat rejections for the same registration, then it is likely that the reason that PCSE is rejecting it for is not being addressed. Each rejection will be accompanied by an email to the practice main contact that will explain our reason for rejection and what you can do to resolve it.
We also include the ‘Rejection Codes’ document which we have available on the PCSE website which gives a brief description of what the code relates to.
If you are unable to see the rejection reason that was sent by PCSE in the user interface of your clinical system, you will need to open the task to view additional information.

You may receive a chaser email on the 6th day after the initial rejection. If you have already resubmitted the registration for the patient since the first request, then you can disregard the chaser email as this is generated automatically.
